What to arrange

  1. Share the hotel address, transfer plan and meetup time with everyone before departure.
  2. The hotel check-in time adds 55 min after everyone could otherwise be ready. Confirm luggage storage if anyone arrives early.
  3. Recheck terminal changes, immigration needs, transfer times and the hotel's actual check-in or luggage-storage policy.

What this planner does not know

It does not read live flight or train schedules, delays, baggage times, immigration queues, routes, traffic or hotel policies. The buffer and transfer estimates are yours.

Confirm every schedule with the carrier, calculate transfers for the actual terminals and verify check-in or luggage storage with the hotel. Add more margin for international arrivals or accessibility needs.

Review the assumptions

Make the waiting time visible before anyone books.

The result uses only the times and estimates you enter. Recheck them against the actual carrier, terminal, route and hotel before the trip.

Use destination-local arrival times

Enter the scheduled time printed for the arrival airport or station, including the date when someone lands after midnight.

Include the hotel constraint

A group can reach the hotel before rooms are available. Confirm luggage storage instead of assuming everyone can check in early.

Give early arrivals a real plan

When the wait is long, use separate transfers and agree on a luggage, meal or sightseeing plan instead of keeping everyone at the terminal.
